Executive Assistant – Debt Advisory Team - 1-year fixed term contract – London

Our dedicated EMEA Debt Advisory Team helps companies to plan, select, source, negotiate and amend debt finance across a range of debt markets, structures and geographies. The team is looking for an Executive Assistant for a 1-year fixed term contract to be based in London and look after our EMEA based team. This a maternity cover with possible permanent conversion given our internal growth plans.
Overview of the Role
The ideal candidate is someone who remains calm, on top of their workload, and always has a sense of humour. The right candidate will have prior experience of dealing with busy professionals, working with tight deadlines and being one step ahead of their team’s needs.
This role requires someone who is versatile, willing to be flexible, as well as friendly and confident. You must have excellent communications and organisation skills and attention to detail.
Responsibilities include but not limited to:
MD specific roles:
- Scheduling and organising meetings, breakfast, lunches and dinners
- Maintaining and coordinating calendars and contact databases
- Monitor MD inbox and respond as required
- Coordinating local and international travel schedules (including visas)
- Timesheets and expense reports
Team roles:
- Support the wider team as required and requested (including members based outside of London office)
- Preparing team communications and social events
- Onboarding of new joiners
- Update and maintain CRM system
- Managing timesheets and expense reports compliance
- Coordinating various internal and external offsite events
Requirements:
- Prior experience in an admin function
- Must be able to interact and communicate with all levels of the organisation
- Ability to multi-task
- Excellent oral and written communication skills
- Must be organised and detail oriented
- Ability to work independently and within a team
- Pro-active nature
- Must be proficient with Microsoft Office Suite
- Additional language skills such as French and German are a nice to have
