Job description

This is an exciting opportunity sit at the heart of our Global Marketing team, supporting our day-to-day operational activities and projects. We’re looking for an enthusiastic individual who is well organised, enjoys a busy and varied workload, and proactively raises their hand to help the team.

The successful candidate will have a can-do attitude and a knack for completing administrative tasks quickly and efficiently, confidently liaising with colleagues at all levels. We’re looking for a real admin whizz with experience in a similar role within a corporate organisation.

The role also demands someone with with strong written and spoken communication skills, and an advance knowledge of Microsoft Office Excel and PowerPoint, as well as Microsoft Outlook and Teams for collaboration.

The role includes but is not limited to:

  • Managing the marketing support mailbox and first point of call for anything team related within PA’s other corporate functions
  • Becoming an expert in our finance admin processes – raising POs, assisting with the month-end process, and handling invoice queries and card payments
  • Coordinating the onboarding of new joiners within the marketing function - raising new joiner forms, organising IT equipment, and training on how to use our admin systems
  • Responsible for keeping marketing function documents up to date - team org chart, new joiner guides, policy documents, and reporting templates
  • Updating our HR system regularly on behalf of line managers, ensuring all staff leave is recorded accurately
  • Coordinating the production of regular marketing plans and performance reports, chasing marketing colleagues for completion to ensure deadlines are met, and supporting the marketing leadership team to review
  • Ownership of our internal marketing SharePoint site, ensuring content is regularly updated and all links work correctly
  • Ordering stationery/IT equipment for the team when needed
  • Organising team socials and engagement activities
  • Supporting on selected marketing client events
  • Administrative support to the Chief Marketing Officer when required

Qualifications

The successful candidate will take on a busy and varied workload, so the ability to self-organise, work alongside multiple stakeholders, as well emitting a helpful and always willing to support attitude is key. Strong written communication skills are essential as the role will work closely with our content and digital marketing teams too.
