Job description

As the initial point of contact, you will welcome guests, and employees to PA’s Global Innovation and Technology Centre performing at a high level, create a positive first impression, and extend a warm welcome to all guests. You will work as a team member by managing calls to the global switchboard.


  • Deliver a high class, professional front of house service to all visitors and staff.
  • Monitoring room booking requests via email for approvals and checking catering orders.
  • Regularly checking conference rooms closely in the client area ensuring rooms are kept in a tidy manner.
  • Manage client meeting rooms booking requests and assist where required.
  • Operating the visitor and room booking systems.
  • To answer incoming calls quickly and efficiently within the Switchboard Operational standards.
  • Updating the Reception calendar with relevant information.
  • Responsible for maintaining office stationery supplies or ordering as required.
  • Assigning temporary access badges to staff.
  • Ensuring the correct access badges are handed out to contractors.
  • Maintaining the staff vehicle database.
  • To maintain and adhere to team and PA policies.
  • Dealing with emergencies in a timely and effective manner.
  • Book taxis and maintain accurate records.
  • Assist with organising couriers.
  • Any other duties as dictated by the business.

The Reception and Global Switchboard hours are: 08:00-18:00 Monday to Friday, although a willingness to be flexible is a must.

  • Previous experience as a Receptionist Role or similar is preferable.
  • A passion for customer service & ‘can-do’ attitude.
  • The ability to communicate at all levels, assisting visitors & callers enthusiastically and patiently from international arena,
  • IT literate: Word, Excel, and Outlook.
  • Strong administration and excellent organisational skills.
  • Ability to be resourceful and proactive when issues arise.
  • Multitasking and time-management skills, with the ability to prioritize tasks.
  • Professional attitude and appearance
  • Ability to work effectively as part of a team.
  • Flexible working for holiday and sickness cover.
