Job description

You will provide first class secretarial support to the Global Head of APP and the APP CTO.

It's a great time for an experienced PA to join us and make an immediate impact, providing seamless support to two of our Partners. The role requires you to be confident, approachable with impeccable organisation and highly efficient in your work. You'll be a fantastic communicator and know how to build positive relationships. Solution-orientated, you will be the first point of contact for all queries APP related and ensuring the smooth running of the APP team and meeting structures.

Excellent communications skills are essential for this role, you will be able to liaise at all levels and build rapport with the APP Leadership and wider team.

The team are looking for another right-hand who can provide support across all areas of the APP business, managing all administration and organsiation, as well as, assisting with exciting projects.

Core Responsibilities:

  • Organisation of complex diary and international travel arrangements across multiple time zones. This includes liaising with clients and all members of staff across all ranks in the firm and being confident to push back and gain a clear understanding of what the meeting is for and its priority within the current APP Strategy plan
  • Manage and prioritise workload, acting on your initiative to complete tasks.
  • Ensure expenses are submitted promptly complying with company policy.
  • Supporting the Global Head of APP, with the overall structure of APP such as arranging internal team meetings, being aware of the business strategy and planning for the year ahead, action taking/tracking where necessary.
  • Be prepared to deal with market sensitive information and maintain the highest levels of confidently, including potential non-disclosure programmes
  • Actively prioritise work, advising on the highest priority issues and proactively organise time around what is most critical to the business
  • Work collaboratively with other functional Personal Assistant populations, in order to deliver high quality, cross-functional support.
  • Provide support to produce documents and presentations for key meetings
  • To make meeting, travel and accommodation arrangements, delivering the most cost effective and efficient solutions, including international travel arrangements.
  • To create and maintain an effective personnel filing system suitable for the level of sensitivity involved, both digitally and physically.
  • To respond to queries from other parts of the business and external organisations, liaising with colleagues at all levels
  • Contribute to the efficient and effective running of the Senior Leadership Team on behalf of the Executive
  • Work as a team with other Executive Assistants to ensure cover for holidays and absence including an expectation to cover the Executive Assistants to Senior Vice Presidents.
  • To support with business processes such as expenses, People Admin, Payroll etc.

Qualifications

Working as part of a busy, business support team the role requires someone friendly, approachable, and confident who has great communication skills, preferably used to working in a team environment closely with other business support staff.

  • A good level of secretarial and administrative experience, preferably in a large organisation
  • Confidence to push back and to the right thing not the easy thing.
  • Experience of working within a business support team
  • Broad knowledge of complex diary management
  • Relationship builder, friendly and personable with a positive outlook
  • Computer literate with excellent MS Office skills especially Outlook, Word and PowerPoint
  • Smartly presented and confident with a professional manner
  • Proactive, with a commitment to quality, accuracy and close attention to detail
  • Effective communication skills (both written and verbal) with peers and senior management
  • Proven planning and organisation skills with ability to work to tight deadlines
  • Ability to prioritise, work under pressure to tight deadlines and adapt to change, able to prioritise and multi-task.
  • Calm when working under pressure
  • Excellent team player with flexible and adaptable approach to work
