We are seeking a Team Assistant with exceptional all-round skills on a permanent basis to support the Regional Leaders team. This role is suited to someone who enjoys a full, challenging and varied day with a strong team ethos and can-do attitude.
What You'll Do
- Assisting and supporting regional leaders and their Executive Assistants in scheduling of meetings and management of busy calendars, sometimes owning full scheduling responsibilities for regional leads when EAs are on holiday.
- Coordination of meetings, booking internal meeting rooms and ensuring appropriate refreshments and AV equipment have been arranged.
- Assistance with setting and distributing meeting agendas and taking minutes of meetings to capture actions.
- Managing expenses and invoices and ensuring prompt submission and payment.
- Booking international and local travel for the teams as required.
- Coordination of highly sensitive correspondence, reports and analysis using Word, PowerPoint, Excel and Outlook.
- Arranging external and internal breakfast / lunches / dinners.
- Printing documents and collating information packs for the team as required.
- Event and venue research and assistance with event management.
- Collaborate and build relationships with the wider business inc core functions in HR, Marketing, Finance, IT and Facilities.
- Ad-hoc project support and ownership as and when required
Education and Qualifications
- Bachelor's degree (or equivalent) advantageous
- PA/Secretarial qualification advantageous
Skills and Competencies
- Ability to prioritise workload and to deal with multiple stakeholders and requests
- Ability to communicate with tact and diplomacy, both verbally and in writing with all levels of the organisation
- Strong organisational skills
- Ability to prioritise and work to tight deadlines
- Ability to cope under pressure and adapt to change quickly
- Strong attention to detail
- Strong interpersonal skills required to maintain collaborative working environment
- Strong team player
- Ability to handle confidential issues with utmost sensitivity
- Strong levels of discretion and integrity
- Ability to follow complex written and verbal instruction
- A desire to learn
- Advanced proficiency in Microsoft Office suite (Excel, Work, Outlook, PowerPoint)
Experience
- Evident team assistant/administration/office management experience, ideally supporting senior management and a wider team
- Experience of working with a professional services environment advantageous
- Experience with client interface and understanding of client relationships
