Executive Assistant (12 Months FTC)| People and Transformation, Strategic Communications

About the opportunity

We are looking for a proactive and adaptable EA to join the People & Transformation team within the Strategic Communications practice of FTI Consulting. This is a busy and varied role providing operational support to a Senior Managing Director and 3 Managing Directors plus ongoing project management. You will be working alongside a hard-working team with a warm and friendly network of colleagues across the global firm.

Key Responsibilities

Support for Senior Leaders
  • Schedule and coordinate internal meetings and manage diaries, coordinate client logistics and scheduling
  • Provide extensive and complex diary management across multiple time zones as required
  • Prioritising constantly changing demands from various internal and external sources tactfully and expeditiously
  • Travel management
  • Make and take calls in a courteous, professional and helpful manner at all times
  • Collaborate with the other Team Assistants across FTI and the wider corporate support teams, including HR, Facilities, Finance and IT, to ensure smooth running of the team
  • Assist with internal and external hospitality events including managing invites and attendance lists along with arranging venues and catering
  • Maintain internal databases such as Salesforce, Chrome River and Carpe Diem


Project Management
  • End to end project management duties for learning and development projects including responsibility for finance and accounts pertaining to all allocated projects
  • Working with, booking in, and liaising with our contractors to ensure all arrangements are in place for client delivery and projects
  • Act as a point of contact for internal and external invoicing and accounting issues, liaising directly with FTI's accounts team
  • Develop a clear understanding of clients and related needs
  • Attend meetings, calls and interactions with clients, when required, and take responsibility for project management, client logistics and action planning
  • Establish a professional, regular business relationship with new and existing clients
  • Act in a highly professional, knowledgeable manner
  • Ensure all project filing is clear and internal databases are updated


Other responsibilities
  • Assist with organising internal events for the team e.g., Christmas Party, Summer drinks and team off-sites plus other ad-hoc events if required
  • Assist Practice Support Manager and cover as and when required
  • Consistently look for ways to improve best practice in workflow, systems, business development activities and all projects, implementing as agreed
  • Take a proactive role in problem solving and seek assistance when required
  • Work collaboratively with team and FTI colleagues as well as the wider contractor network with the objective of developing excellent working relationships

Person Specification

Education & Qualifications
  • Educated to A-level or equivalent


Qualities & skills
  • Commercial interest and understanding
  • Excellent verbal and written communication skills
  • Ability to work accurately and show close attention to detail at all times
  • Exceptional organisational skills to include management of a very busy and everchanging diary
  • Ability to juggle competing priorities and tackle last-minute tasks
  • Experienced in working under pressure and to strict deadlines
  • Capable of working autonomously, but as part of a team, supporting others, own workload allowing
  • Ability to work in a flexible manner across multiple time zones
  • Skilled in time and self-management, planning and prioritising own workload
  • Proven track record of project management, working to agreed objectives and managing time effectively
  • Systems orientated
  • Assertiveness


Systems
  • High level of IT literacy (Word, PowerPoint, Excel)
  • Proficiency in using Salesforce is preferred


Experience
  • At least 5 years' experience in a similar, preferably in a global role with a consultancy or professional services background
