You will be responsible for managing international transfers (assignments and extensions, permanent transfers, localizations, repatriations, short term secondments), international remote work requests and extended business travelers for EMEA.

You will assist in multiple initiatives to improve global mobility and business traveler tax program, with a focus on driving efficiencies, managing risk and compliance, and identifying creative innovative solutions to meet the needs of a rapidly growing global and mobile employee base.

This role will partner with Global Mobility Lead based in New York and will report to the Head of  HR Operations in EMEA based in London.

This is a brand new role in response to significant growth across EMEA, where we expect to double in size to 3,000+ colleagues across XX offices within the next 2-3 years. One of our specialties is rapid client service delivery. Areas of Responsibility

Global Mobility (International Relocation/Assignment Program)

  • Initiates and coordinates the business case preparation and sign off for all international assignments (permanent transfers, secondment or fixed term international assignments).

  • Be the main point of contact for business stakeholders to ensure an international move is the right thing to do (including commercial considerations) and is executed efficiently and compliantly.

  • Consult and administer expatriate costs and allowances.

  • Coordinate and advice on suppliers including Destination Services, Visa and Immigration, Household Goods etc.

  • Manages and troubleshoots relocation related matters with employees, vendors and the business.

  • Works closely with the Global Mobility Lead and tax advisors to advise on tax equalization, tax protections, tax briefing and tax implications for employees on assignments.

  • Creates and updates templates related to global mobility and keeps track of the assignment lifecycles and milestones.

  • Reviews and coordinates expenses and costs for all EMEA global mobility cases.  

  • Manages and tracks the movement of numerous employees in EMEA and/or out from EMEA, including expatriates, short-term assignee's, local transfers, contract extensions and repatriations.

  • Work closely with counterparts around the world to ensure a smooth assignment experience, advising and coaching as necessary

Immigration

  • Manage the immigration (visa/work permit) services provided to authorise employees to ensure assignee's have the required visa, paperwork and support in EMEA and/or out from EMEA.

  • Serve as the primary contact for EMEA on immigration matters by in-house legal counsel and external immigration vendors and lawyers.

  • Maintain and monitor visa and work permit status for all authorised employees in EMEA and/or out from EMEA, including expiration dates using our shared mobility database.

  • Partner with Payroll, HRIS and global HR staff to ensure that appropriate system interfaces are maintained and conduct audits to ensure that system data is accurate and up to date.

  • Stay current with trends and best practices; recommend competitive policy changes as appropriate.

  • Facilitate internal education of the business by creating immigration process flows and procedures for talent acquisition and hiring managers.

  • Ensure appropriate communications with all stakeholders and liaise with employees to keep them informed of progress during work authorisation process.

Business Travel/ Short Term Business Travel

  • Implement  Short Term Business Traveler tax program, including working closely with our vendor partner to build our Posted Worker and A1 / social security processes in EMEA.

Remote Working/Cross border Working

  • Assist and Track Remote Work Agreements, in conjunction with Corporate Tax, Legal and/or Outside vendor to confirm when Remote Work Arrangements can be granted in EMEA and/or out from EMEA.

Project Work

  • In partnership with the Global Mobility lead drive the mobility related projects through planning, development, launch, and stabilisation and close. The projects include but are not limited to: Global Mobility policy for EMEA; ROI & mobility analytics; applicant tracking systems with mobility; tracking and checklists; case management systems, equity, and invoicing

  • Develop strategies to mitigate risk and provide solutions while supporting the needs of the business

  • Investigate ways to improve existing processes and fix pain points through automation and streamlining

  •  Help manage periodic updates to process documentation such as point of contacts, process flows and maps, and system access

Knowledge, Skills & Experience

  • Proficient in Excel and HRIS tools and have the ability to provide quantitative data.

  • Ideally proven experience in global mobility advisory and consulting (Big 4 or similar)

  • Demonstrable experience working within Global Mobility

  • A solid understanding of Global Mobility processes and policies in a commercial environment

  •  Experience working with internal and external stakeholders, including third-parties

  • Willing to learn and assist with other adhoc projects as necessary

  • Proven experience  working with European global mobility cases, desirable experience with Middle East mobility cases

  • Experience working with or in support of diverse communities
