As the CTS practice continues to grow we are now looking for 2 new EAs to join the team.  The ideal candidate is someone who remains calm, on top of their work load, and always has a sense of humour. You will be looking for a challenging role in a dynamic, entrepreneurial and highly professional company and will have experience in dealing with tight deadlines; extensive diary management; being one step ahead of your MD’s needs and understands the importance of building relationships with clients and the wider team.  

This is not a straightforward “9-5” role and you must be versatile and willing to be flexible. The role requires someone who is extremely personable, friendly and confident.  A true team player is a must – you will work closely alongside other EAs in the support team and work seamlessly together (not just to support your own MDs, but also the CTS group collectively as and when required). You will be primarily responsible for organising and coordinating business meetings and managing schedules for approx. 3 Managing Directors.

This is a fantastic job for someone who is hands on and likes a busy, rewarding and challenging role, in a fun and friendly environment.  You must have solid admin support to senior executives, excellent communication and organisation skills, attention to detail and be used to working under pressure. The role requires someone who is proactive, innovative and who is looking for a dynamic and varied role.

Responsibilities include but not limited to:

  • Scheduling and organising meetings

  • Maintaining and coordinating calendars

  • Coordinating various internal and external marketing events

  • Using Salesforce.com to track and monitor marketing activities

  • Preparing time and expense reports

  • Coordinating travel plans, hotels, and car service

  • Managing the invoicing process

  • Setting up conference calls

  • Meeting and greeting clients and other visitors

  • Managing confidential information, emails

  • Creating and amending decks in PowerPoint

  • Using Excel to maintain team documents

  • Assisting with client research

Essential requirements:

  • Must have high level of interpersonal skills to handle sensitive and confidential information at maximum discretion

  • Must be able to interact and communicate with all levels of the organization

  • Experience working with senior clients

  • Ability to multi-task in a fast paced environment; constantly prioritise/ reassess tasks

  • Excellent oral and written communication skills

  • Must be proficient with a variety of computer software applications in word processing, spreadsheets, database and presentation software specifically, MSWord, Excel, PowerPoint, Outlook and various other internet applications

  • Must be organised and detail oriented

  • Ability to work independently and within a team

  • Ability to be pro-active and involved in executive business dealings

  • European languages (ideally French) advantageous
