We are looking for an outstanding EA to join our Financial Industry Advisory Services (FIAS) team, to support the managing directors in their every day responsibilities but also to provide administrative support to strategic development of the practice. The FIAS team in London currently comprises six Managing Directors, and fifteen other consultant staff. We also have a number of Senior Advisors.

This role will require someone who remains calm, on top of their diverse work load, is capable of making sound judgements, and understands the importance of building relationships with clients and their teams. The ideal candidate will be looking for a challenging role in a dynamic, entrepreneurial and highly professional company and will have experience in dealing with tight deadlines; extensive office, diary and travel management; and being one step ahead of their MDs’ needs.   

This is not a straightforward “9-5” role and you must be versatile and willing to be flexible. The role requires someone who is extremely personable, friendly and confident. You will be responsible for organising and coordinating business meetings and managing schedules for several Managing Directors of the UK practice as well as the Global Head who is based in New York. In addition, you will also play a key role in supporting the tracking and management of practice development activities.

This is a fantastic job for someone who is hands on and likes a busy, rewarding and challenging role, with the potential for stretch and future development.  You must have solid EA support to senior executives, excellent communication and organisation skills, attention to detail and be used to working under pressure. The role requires someone who is proactive, innovative and who is looking for a dynamic and varied role. 

Responsibilities include but not limited to:

  • Scheduling and organising meetings
  • Maintaining and coordinating calendars
  • Coordinating various internal and external marketing events
  • Using Salesforce.com and other relevant tools to track and monitor practice development activities
  • Preparing time and expense reports
  • Coordinating travel plans, hotels, and car service
  • Managing the invoicing process
  • Setting up conference calls
  • Preparing minutes of meetings
  • Meeting and greeting clients and other visitors
  • Managing confidential information, and emails
  • Creating and amending decks in PowerPoint
  • Using Excel to maintain team documents
  • Assisting with client research
  • Providing reception cover when required

Essential requirements:

  • Must have high level of interpersonal skills to handle sensitive and confidential information at maximum discretion
  • Must be able to interact and communicate with all levels of the organization
  • Experience working with senior clients
  • Ability to multi-task in a fast-paced environment; constantly prioritising/ reassessing tasks
  • Excellent oral and written communication skills
  • Must be proficient with a variety of computer software applications in word processing, spreadsheets, database and presentation software specifically, MSWord, Excel, PowerPoint, Outlook and various other internet applications
  • Must be organised ,detail oriented and able to perform multiple tasks with minimal errors and in a timely fashion
  • Ability to work both independently and within a team
  • Ability to make sound judgements
  • Ability to be pro-active and involved in executive business dealings
