Overview of the Role

We are looking for an outstanding EA to join our Transactions Advisory team; someone who remains calm, on top of their work load and always has a sense of humour. The ideal candidate will be looking for a challenging role in a dynamic, entrepreneurial and highly professional company and will have experience in dealing with tight deadlines; extensive diary management; being one step ahead of their MD’s needs and understands the importance of building relationships with clients and their teams.  

This is not a straightforward “9-5” role and you must be versatile and willing to be flexible. The role requires someone who is extremely personable, friendly and confident. You will be primarily supporting 4 Managing Directors while overseeing some of the day to day operations of the team.

This is a fantastic job for someone who is hands on and likes a busy, rewarding and challenging role, in a fun and friendly environment.  You must have solid EA support to senior executives, excellent communication and organisation skills, attention to detail and be used to working under pressure. The role requires someone who is proactive, innovative, a team player and who is looking for a dynamic and varied role.

Responsibilities include but not limited to:

  • Scheduling meetings  while maintaining and coordinating calendars
  • Coordinating various internal and external marketing events
  • Using Salesforce.com to track and monitor marketing activities
  • Preparing time and expense reports
  • Coordinating travel plans, hotels and car service
  • Managing the invoicing process
  • Meeting and greeting clients and other visitors
  • Managing confidential information
  • Creating and amending documents in PowerPoint, Excel and Word
  • Supporting the team on adhoc requests
  • Assisting with client research
  • Providing reception cover when required

Essential requirements:

  • +7 years’ experience in an EA role
  • Experience in professional services (advantageous)
  • Must have high level of interpersonal skills to handle sensitive and confidential information at maximum discretion
  • Must be able to interact and communicate with all levels of the organization
  • Experience working with senior clients
  • Ability to multi-task in a fast paced environment
  • Excellent oral and written communication skills
  • Must be proficient with a variety of computer software applications in word processing, spreadsheets, database and presentation software specifically, MSWord, Excel, PowerPoint, Outlook and various other internet applications
  • Must be organised and detail oriented
  • Ability to work independently and within a team
  • Ability to be pro-active and involved in executive business dealings
