ABOUT THE OPPORTUNITY:
This position is responsible for providing administrative support for a Management Team within the UK Healthcare Solutions team which includes Senior Managing Directors, Managing Directors and their team members, based in the UK and US.  We are seeking a highly motivated individual to work as part of an exciting and growing new business for FTI. The candidate must be detail oriented, highly organised, able to work independently and as part of a team.  Excellent interpersonal skills are essential as the position requires contact with clients and all levels of professionals. The candidate will perform all administrative functions and will require the ability to successfully balance assignments and a variety of tasks from multiple individuals.  This role will be responsible for routine and non-routine tasks and will require independent judgment to plan, prioritise and organise your workload.   

PRIMARY DUTIES:

  • Create and maintain paper and electronic files
  • Maintain calendars, identifying conflicts and resolving promptly
  • Maintain contact lists and update as needed, both in Outlook and CRM/sales tools
  • Build and maintain relationships with FTI EA’s and client EA’s
  • Maintain relationship and opportunity trackers
  • Coordinate all meeting and travel arrangements
  • Set-up conference calls, including contacting/notifying participants
  • Compose, type and edit correspondence and reports
  • Minute taking at team and management meetings
  • Demonstrate proficiency in using company templates for correspondence and presentations
  • Answer all assigned phones, take messages and fulfill requests
  • Create documents, reports, spreadsheets and presentations using Microsoft Excel, Word and PowerPoint
  • Assist in research projects by efficiently conducting searches of the Intranet/Internet and provide information in summary form 
  • Capture time and expense reporting within applicable FTI systems
  • Maintain reconciliation of Amex statements as required
  • Reconcile SMD/MD expenses, as required
  • Assist with the collection of billing information, invoice creation and collection
  • Run financial reports to support billing 

BASIC QUALIFICATIONS:

  • Minimum 5 years of administrative support experience, required
  • Knowledge of the consulting industry, desirable
  • Knowledge of the NHS/healthcare, desirable

  • Proactive and initiates projects, accepting of new assignments and challenges 
  • Manage multiple simultaneous projects and meet deadlines
  • Capacity to multi-task, prioritise work load and manage time
  • Ability to work in fast-paced, deadline driven environment  
  • Demonstrate excellent oral and written communication skills
  • Work effectively as part of a team and able to work independently with minimal supervision
  • Perform all tasks with attention to detail and review for accuracy
  • Maintain courteous, professional manner in person and on the phone
  • Proficient in Microsoft Office application (Excel, Word, PowerPoint)
